PPDA Mommy Event - Exhibitor Package

Terms & Conditions


By becoming an exhibitor for the PPDA Mommy Event, you are doing a very important thing!
You are helping to support a very important cause that is making a difference for women & their families everywhere!
You are also placing your business in a prime Event & Location for excellant exposure!

This event is FREE for the public to attend! All funds raised from this event will go directly to PPDA: Postpartum Depression Awareness Project Ltd. to help further the cause of Awareness and Resources for postpartum depression and other postpartum mood disorders!

1. Application/Payment:
-The fee to become an exhibitor for this event is a $100.00 donation to PPDA.
-If you would like to do a presentation for our Center Stage Program, there is an additional fee of $50.00.
-One Silent Auction item with a retail value of $30.00 or greater is required by all exhibitors. Silent Auction items must be submitted no later than January 15th, 2011. The auction will be held as an Online Silent Auction that will begin two weeks prior to the event.
-We will be giving out Swag Bags to the first 100 attendees. Placing items in our Swag Bags is Free! You may place items such as: coupons, gift certificates, small samples, promtional materials. Swag Bag items must be submitted no later than January 15th, 2012.
-Please note that your fee must be submitted in full with your application and your application will not be processed without this payment.
-If you are not successful in becoming an exhibitor, your money will be refunded in full.
-There will be a $30.00 fee for NSF cheques.
-The deadline for applications and fees is January 15th, 2011.
-PPDA reserves the right to refuse any application without explanation.
-Receipts will be available on your table the day of the show.

2. Cancellation Policy:
If an exhibitor needs to cancel after an application has been accepted, they must do so in writing. Upon cancellation, 50% of the total paid by the exhibitor will be refunded if the cancellation is made before December 31st, 2011. If the cancellation is made after this date no refund will be issued.

3. Insurance:
-All exhibitors must have business insurance and are required to have a copy of their insurance document with them at the event.

4. What is included in your registration:
*Exhibitor tables are clothed and skirted!
*Wireless internet access included!
*Power Outlets (bring your extension cords) available!
*Opportunity to place 100 items from your business in our Swag Bags!
*Your Logo and short description of your business as well as links will be placed on the PPDA website!
*Your Business name and website will be placed in our program that will be handed out to attendants!
*Great exposure for your business in West Edmonton Mall, who will be promoting the event!

5. Exhibitor Responsibilities:
-As an exhibitor you are encouraged to be creative and make your table/booth eye catching and interesting, something that will draw people in. Please feel free to hold a contest/draw at your table as well!
-Exhibitors must be completely set up by 11:45am on the day of the event. There will be no late set ups allowed. Any exhibitor who arrives after the allowed set up time will not be permitted to participate in the event.
-Exhibitors must remain set up until the end of the event at 6:00pm.
-If you require power access, please bring an extension cord.
-The exhibitor is entirely responsible for their table/booth and all of it's contents.
-The exhibitor is to maintain a clean, professional looking exhibit at all times.
-Exhibitors must have atleast one authorized representative present at their exhibit throughout the show, including set up and dismantling.
-Please wear a name tag throughout the event.
-The exhibitor is expected to help with clean up at the end of the event and to leave their table/booth clean.
-Pleae be considerate of other exhibitors. Do not obstruct the view of adjoining exhibitors or operate in any manner objectionable to the other exhibitors.
-Please help us promote the show by telling your customers/family/friends. We will email out a poster that exhibitors can print and hang. Please also place information on your website and help to promote on facebook and twitter as much as possible.

6. Further Terms:
-Subletting or sharing of exhibitor space is not permitted unless permission is granted from PPDA.
-PPDA reserves the right to refuse any exhibitor or exhibit that does not meet the quality, dignity or safety standards of the event. PPDA reserves the right to request alteration, restriction or removal of an exhibit or its merchandise as deemed fit.
-As we will be having a show running on the Center Stage throughout the event, all exhibitors are asked to keep any music or noise they may have at their tables/booths to a resectable minimum so as not to conflict with the show. PPDA reserves the right to request noise levels to be reduced.
